The Annual General Meeting of the Kangaroo Point Cycling Club Inc. will be held on Tuesday 27 March 2017 at the Gabba Ward Office, 2/63 Annerley Road, Woolloongabba (entry via carpark)

6:30pm – 7:30pm Annual General Meeting
7:30pm – 8:00pm Dinner
8:00pm – 8:30pm Club Meeting

Reflecting on 2017

The Committee will present a detailed annual report to reflect on the Club’s 2017 year and field questions from the Member base on any aspect of the Club’s operation.

Election of the Club’s executive and non-executive positions

Joining the Club’s Committee, or holding an elected position within your Club is an
excellent opportunity to contribute your time and expertise on a Volunteer basis to an organisation that makes a real difference to its Members and enjoyment of the sport.

This year promises to be an exciting one for the Club, and it’s a fantastic time to get
more involved and join us .

We encourage Members to read about each of the positions, think about where they
might have the skills, experience or passion to make a difference to the Club, and put
their hat in the ring for a position in 2018.

With the change in the leadership of the Club planned, all of the Members of the
current Committee would be more than happy to share their experience and provide
information about each role. We encourage all Members to make contact with
Committee to find out more. Just remember – joining the Committee isn’t a life
sentence!

The following positions will be decided by secret ballot at the Annual General Meeting:

Executive: President*, Treasurer*, Secretary*, Club Captain, 1x Committee Member

Non executive: Vice President*, Assistant Treasurer. Assistant Secretary. Club Vice
Captain (Ride)*, Club Vice Captain (Race), Ride Leader Coordinator, Chief
Commissaire, Assistant Commissaires, Club Coach, Assistant Coaches.

Although all positions are formally vacated, the Committee specifically wishes to
note that Courtney Coyne (President), Matt Bialkowski (Vice-President), Lucy
Sainsbury (Secretary), Andy Mann (Treasurer) and Heidi Casey (Vice Captain (Ride)) have confirmed that they will not be standing for re-election to these positions in 2018. The filling of these vacated positions is of critical importance to the Club’s ongoing operation and the Committee asks that you strongly consider who may be suitable to fill these roles.

The meeting will follow our standard procedure for democratic elections:

- Members present will elect two scrutineers to oversee the voting process.
- The President of the Club will formally resign her position and the Vice
- President will assume carriage of the Annual General Meeting.
- A vote will be held for the position of President and a President appointed.
- The President will then assume carriage of the Annual General Meeting and declare all remaining positions vacant.
- Voting will be carried out for all remaining positions.

The process for nominating for a position:

1. Any Member of the Club (aged over 18 years) may nominate a fellow Member for an official position. This must be done via email to our Secretary before 5:00pm on Tuesday 20 March.

2. The Secretary will confirm with the nominated Member that they are happy to accept the nomination. This will be arranged by the Secretary and completed before 5:00pm Wednesday 21 March.

3. If no nominations are received for a position prior to the Annual General Meeting, or no candidate is successfully elected to a position at the Annual General Meeting, the Chairperson will call for nominations from the floor of the Annual General Meeting for election.

4. A full list of nominees will be prepared by the Secretary and forwarded to the Club as part of the formal meeting agenda on Thursday 22 March 2018.

Proxy voting

If a Member is unable to attend the Meeting they may pre-vote, or vote by Proxy to
have their say.

A voting form will be issued with the Meeting Agenda on Thursday 17 March prior to the meeting that will allow a Member to pre-vote. Instructions will be included on how to submit this form.

A proxy form will also be issued with the Meeting Agenda that will allow a Member to nominate a fellow Member to exercise a vote on their behalf at the Meeting.

Special Resolutions
The Committee is not proposing any Special Resolutions in 2018.

Motions
The Committee is not proposing any motions.

Submitting Motions
Members of the Club are welcome to make submissions to the Secretary prior to
Tuesday 20 March 2017 for items to be included on the Agenda. Submissions must be in the form of a motion for discussion and resolution by the Meeting.
